This policy applies to the websites at subphonic.ai and aiphoria.net, and to our web-based services including the Focus portal and Transact platform (together, "the Services"), operated by aiphoria Limited (trading as Subphonic).

This policy should be read alongside our Privacy Policy, which provides further information about how we use personal data more generally.

2. What are cookies?

Cookies are small text files placed on your device (computer, tablet, or mobile) when you visit a website. They are widely used to make websites work, to work more efficiently, and to provide information to the website operator.

In addition to cookies, we may also use similar technologies such as web beacons, pixel tags, and local storage. References to "cookies" in this policy include these similar technologies unless stated otherwise.

3. What cookies do we use?

We group our cookies into four categories.

3.1 Strictly necessary cookies

These cookies are essential for our website and Services to function. They enable core features such as page navigation, security, and session management. You cannot opt out of these cookies as the website and Services cannot function properly without them.

Both subphonic.ai and aiphoria.net are hosted on the Webflow platform. The Webflow cookies above are set automatically by the platform and cannot be disabled without affecting core site functionality.

3.2 Functional cookies

These cookies allow our website and Services to remember choices you make and provide enhanced features. If you do not allow these cookies, some features may not function correctly.

3.3 Analytics cookies

These cookies help us understand how visitors interact with our website and Services by collecting information in aggregate. This helps us improve performance, content, and the user experience. We only set these cookies with your consent.

We use Google Analytics 4 (GA4) to understand how visitors use our website. IP anonymisation is enabled. Data collected by Google Analytics may be transferred to and processed by Google on servers in the United States. We have a Data Processing Agreement in place with Google, and transfers are governed by the EU-US Data Privacy Framework and the UK-US Data Bridge. If you wish to opt out of Google Analytics across all websites, you can install the Google Analytics Opt-out Browser Add-on at tools.google.com/dlpage/gaoptout.

A full browser-level scan is underway to confirm whether any additional analytics tools are active (including Webflow's built-in analytics feature). This table will be updated once that scan is complete.

3.4 Marketing and targeting cookies

We do not currently use marketing or advertising tracking cookies (such as the LinkedIn Insight Tag, Meta Pixel, or Google Ads conversion tracking). If this changes, we will update this policy and obtain your consent before placing any such cookies.

Our website includes links to our social media pages on LinkedIn, Facebook, and YouTube. These are standard hyperlinks only — we do not embed social media widgets or tracking pixels from these platforms on our website. Visiting those platforms via our links will be subject to their own cookie and privacy policies.

4. Legal basis for using cookies

Under UK law (PECR — the Privacy and Electronic Communications Regulations 2003) and EU law (the ePrivacy Directive), we must have a valid legal basis for placing non-essential cookies on your device:

  • Strictly necessary cookies — no consent required. We rely on our legitimate interest in operating a functional website and service.
  • Functional and analytics cookies — we obtain your consent before placing these. You can withdraw consent at any time (see Section 5).

Where cookies involve the processing of personal data, that processing is also governed by our Privacy Policy and subject to UK GDPR and/or EU GDPR.

Opting out of Google Analytics

You can opt out of Google Analytics tracking across all websites by installing the Google Analytics Opt-out Browser Add-on: tools.google.com/dlpage/gaoptout.

LinkedIn, Meta (Facebook/Instagram), and YouTube opt-out links have been omitted as we do not currently use tracking integrations with these platforms.

6. Cookies on our Services (Focus and Transact)

When you are logged in to our Focus portal or Transact platform as a service user, we use strictly necessary and functional cookies to operate your session securely. We may also use analytics cookies within the Services to understand feature usage and improve the product. We will inform you of any such cookies in the onboarding flow or settings area of the relevant Service.

Note: the content of communications processed through Focus or Transact (recordings, transcripts, AI outputs) is not governed by this Cookie Policy. Please refer to the data processing agreement between Subphonic and the relevant business customer.

7. Third-party content and links

Our website and Services may include content or links from third-party websites (for example, embedded video players, social media buttons, or support chat widgets). These third parties may set their own cookies on your device when you interact with that content. We do not control these cookies and are not responsible for them. Please refer to the relevant third party's privacy and cookie policies for more information.

8. Changes to this policy

We may update this Cookie Policy from time to time — for example, when we introduce new cookies, change providers, or to reflect changes in applicable law. We will update the "last updated" date at the top and, where changes are material, notify you via our cookie banner or a notice on our website.
